The Fairy Godmothers Group NZ Limited (TFG) respects your privacy and is committed to protecting the personal information you choose to share with us.

This Privacy Policy explains how TFG collects, uses, protects and manages personal information across our organisation and our services, including Early Years by TFG, Whānau Circle, Create Out Loud and TFG Consulting.

We aim to collect only the information we reasonably need to respond to enquiries, provide our services, communicate with you and operate our organisation effectively.

TFG is committed to handling personal information in accordance with the Privacy Act 2020 and the information privacy principles that apply to organisations operating in New Zealand.

The information we collect will depend on how you interact with TFG and which service you are engaging with.

This may include:

  • Your name

  • Contact details, such as your email address and phone number

  • Information you choose to provide when making an enquiry

  • Information necessary to arrange or provide a TFG service

  • Information provided during email or video communication

  • Information you voluntarily provide about your circumstances, needs or preferences where this is relevant to the service you are seeking

We do not seek to collect personal information that is unnecessary for the purpose of providing or discussing our services. Where information is not necessary for us to respond to an enquiry or provide a service, we do not require you to provide it.

We may collect personal information when you:

  • Contact us through our website

  • Complete a website enquiry or contact form

  • Email us at info@tfgnz.com

  • Contact a member of the TFG team directly

  • Communicate with us by video call or other agreed communication methods

  • Engage TFG for a service

  • Communicate with us through our social media accounts

We encourage people to avoid sending sensitive or private information through social media platforms. Where a conversation requires personal or confidential information, TFG will generally move the conversation to email or another more appropriate communication method.

Our website is hosted through Squarespace. When you use our website, Squarespace and associated website technologies may collect certain technical information, such as information relating to your visit to the website. TFG uses website analytics to understand how people use our website and to help us improve its content and functionality. The analytics used by TFG are intended to provide anonymous or aggregated information and are not used by TFG to identify individual website visitors.

We will not use your personal information for a purpose that is unrelated to why it was provided unless we have a lawful basis to do so or are otherwise permitted or required by law. When you submit your name and contact details through the TFG website, this information is sent to info@tfgnz.com. Website enquiry information is used to enable an appropriate member of the TFG team to respond to your enquiry. Your contact details are not collected through the website for the purpose of building a marketing database or using your information for unrelated future purposes. Where appropriate, an enquiry may be shared with a TFG business owner or relevant member of the team so that they can contact you regarding your enquiry.

Personal information is accessible only to people within TFG who reasonably need access to it for the purpose for which it was collected or to carry out their responsibilities. Depending on the nature of your enquiry or service, this may include:

  • TFG business owners

  • Relevant TFG staff members

  • Contractors or service providers working on behalf of TFG where access is necessary to provide a service or operate the organisation

TFG does not share personal information with unrelated organisations or individuals.

TFG will not sell, rent or otherwise provide your personal information to third parties for their own marketing purposes. We will generally only share personal information where it is necessary to provide the service you have requested, where you have authorised us to do so, where we are legally required to do so, or where another lawful basis for disclosure applies. TFG does not share information between its separate service areas for the purpose of marketing or targeting individuals.

Although TFG and Villa Aroha are both operated by Mandy Suess, information held by Villa Aroha is not used by TFG to target individuals or families, and TFG does not use information about children held by Villa Aroha for unrelated TFG purposes.

TFG is not a crisis, emergency, medical or emergency response service. If you or someone else is experiencing an immediate emergency or serious risk, you should contact the appropriate emergency or specialist service. In circumstances where TFG reasonably believes that disclosure of personal information is necessary to prevent or lessen a serious threat to someone's life or health, information may be disclosed to an appropriate person or authority where permitted or required by law. This may include emergency services or another appropriate agency.

TFG believes consent is important and will seek appropriate permission before using identifiable photographs of clients, participants, children or other individuals in our programmes or services for promotional or public-facing purposes. Photographs currently used on the TFG website are stock images. Where TFG takes photographs during a programme, event or service and wishes to use an identifiable image publicly, appropriate consent will be sought. Consent may be withdrawn where appropriate, and TFG will take requests to stop future use of an image.

TFG operates social media accounts including Instagram, Facebook and LinkedIn. People may choose to contact TFG through these platforms. However, social media platforms are not considered appropriate channels for sharing sensitive or confidential personal information. TFG will not intentionally request or send sensitive personal information through social media where a more appropriate communication method is available. Where necessary, TFG may ask you to continue the conversation by email or another private communication method. Your use of social media platforms is also subject to the privacy policies and terms of those platforms.

TFG takes reasonable steps to protect personal information from loss, misuse, unauthorised access, disclosure, alteration or destruction. Information may be held through systems used by TFG to operate its website, email and business services, including Squarespace and email services. Access to personal information is limited to people who reasonably require it for their work. TFG will take reasonable steps to ensure that third-party providers used to process or store personal information provide appropriate safeguards. Where personal information is disclosed or transferred outside New Zealand, TFG will comply with the requirements of the Privacy Act 2020 relating to overseas disclosure.

TFG does not retain personal information indefinitely.

Information will generally be kept only for as long as it is reasonably required for the purpose for which it was collected, to provide a service, maintain appropriate business records, or meet legal or regulatory obligations. Where personal information is no longer required, TFG will take reasonable steps to securely delete or dispose of it. Website enquiry information is not retained for unrelated future use simply because someone has contacted TFG.

You have the right to ask TFG whether we hold personal information about you and, where applicable, to request access to that information. You may also ask us to correct personal information if you believe it is inaccurate, incomplete or out of date. We may need to verify your identity before providing access to personal information. We will respond to requests within the timeframe required by the Privacy Act 2020.

Where you contact TFG, you may choose not to provide personal information unless it is reasonably necessary for us to respond to your enquiry or provide a particular service. If you choose not to provide information that is necessary for a particular purpose, we may not be able to respond to your enquiry, arrange a service or provide the requested support.

TFG takes privacy concerns seriously. If you believe that your personal information has been handled inappropriately, or you have concerns about how we have collected, used, stored or disclosed your information, please contact us first so that we can understand and address your concern.
